I. General Statement of Duties:

Reports to:  Director and Assistant Director of Experiential Education, School of Pharmacy.

II. Distinguishing Features of Class:

Experiential Education

  • Monitoring/coordinating multiple projects related to clinical placements and program evaluation.
  • Completion of all assigned administrative tasks, related to all areas of the School of Pharmacy’s Experiential Education Program.
  • Create/manage databases, as assigned, in electronic form and hard copy.
  • Handle special projects as designated by the Director and Assistant Director of Experiential Education.
  • Assist the Director and Assistant Director with all preceptor inquiries regarding student placements, student performance, student problems, and related policies and standards.
  • Assists Director in assessing student performance.
  • Schedules faculty sessions to de-brief student experience.
  • Coordinates all clinical placements (introductory and advanced).
  • Assists with clinical and didactic assessment of student activities, student achievement, and student progress.
  • Supervise clerical support provided by School of Pharmacy staff.
  • Financial and budgetary assistance as needed.

Event Planning

  • Plan the annual Flu clinic within the School of Pharmacy.

III.  Examples of Duties (illustrative only, not limited to):

  • Point of communication for over 300 preceptors of record and ~150 concurrent clinical placement sites regarding ~500 APPE and ~750 IPPE rotations.
  • Assists in the delivery, assessment, and communication related to ~600 student assessments as well as record keeping and manual updating for 93,600 APPE and 50,000 IPPE student rotation hours.
  • Faculty, Student, and Preceptor relationship contact for over 35% of the School of Pharmacy curriculum.
  • Site on-boarding (immunization/vaccinations, background checks, and other requirements) for every major hospital system in the region, as well as Cleveland Clinic, UPMC, and other affiliated systems.
  • Extensive knowledge and understanding of PharmAcademic, the online software program used for scheduling rotations, assignments, and assessments.
  • Administer required preceptor surveys through AACP.
  • Collect survey data from current students, alumni and employers and create reports for faculty review, analysis, and interpretation.
  • Maintain electronic archive of student performance data.
  • Maintain confidential material including current student, preceptor, alumni and faculty files.
  • Schedule appointments, rooms and services for special preceptor events.
  • Ensure that all required assessment data is disseminated to pertinent internal and external stakeholders as mandated by accreditation standards or as required by the College.
  • Coordinates scheduling of experiential education meetings, records, types and distributes all minutes.
  • Responsible for all ordering of supplies and materials.
  • Maintain all course syllabi for clinical placements.
  • Co-ordinate student/preceptor placements, issues, and complaints.
  • Carries out other assignments as directed by the Director and Assistant Director.
  • Excellent skills with MS Office: Access, Excel, Word programs, and other requisite software.
  • Operate office equipment.
  • Knowledge of educational assessment principles.
  • Web based instruction and communication.
  • Basic survey design and implementation strategies.
  • Ability to make decisions, work under pressure, and meet deadlines independently.

IV.  Required Knowledge, Skills and Abilities:

V.  Acceptable Training and Experience:

  • MBA degree desired but not required or commensurate experience in lieu of degree.
  • Experience in a business or educational setting.
  • Management background or equivalent professional history.
