Program Coordinator - Physician Assistant Department

General Statement of Duties

This position is a 12-month, full-time, administrative appointment to the physician assistant department. The position reports directly to the physician assistant program director. This position supports the day to day administrative, programmatic and budgetary operations of the department/program and it supports the clinical coordinator.

Distinguishing Features of the Position

Must be a mature, assertive, organized, individual with superior interpersonal, written and communication skills. Must also have strong problem-solving skills and high level of diplomacy (working with faculty, students, hospital administrators and clinical preceptors- MD, PA, NP, etc.).

Responsibilities shall include, but are not limited to the following:

Department administration

Serve as point of contact for the PA program to field inquiries

Coordinates and supervises the hiring of work study and graduate assistants

Organizes, schedules, coordinates, and records meeting minutes and maintains records at all faculty meetings

Organizes department events such as annual White Coat Ceremony, Interview Day and New Student Meet and Greet day, and Preceptor of the Year.

Maintain current database of instructional faculty

Proctor Exams, as needed

Tracks and monitors student academic progress

Updates the webpage/catalogue under the direction of the program director

Other duties as assigned or identified

Department Budget

Coordinate with Program director for creation of PA Department Budget

Reconciliation of Departmental budget

Coordinate budget requests

Process purchase requests, order office/lab supplies, services performed, etc.

Creates and maintains student files

Other duties as assigned or identified

Clinical Coordination

Along with the clinical coordinator, oversees the clinical rotation schedule and assists in managing clinical placements and rotations

Collect, manage and disperse earned tuition credit waiver or compensation to preceptors

Coordinate of student health/certification/immunizations via online tracking database

Assist the clinical coordinator in managing monthly student database rotation surveys

Update clinical site/preceptor database in E*Value or other portals and software

Other duties as assigned or identified

Program Accreditation

Supports and assists PA program director with data collection, preparation and completion of ARC-PA and PAEA annual reports and other reports as assigned.

Collects and maintains files of department evaluations (student satisfaction surveys, faculty surveys. Alumni)

Update ARC-PA portal

Collate student senior day paperwork with regard to preceptor evaluations, grading and further reviews

Other duties as assigned or identified

Program Administration

Organize and manage interview calendar for the Department Program director

Prepare and organize admission application documents, facilitate distribution to faculty for review; create and maintain a database for all applicants via CASPA portal

Coordinate all logistical aspects of interview days Schedule applicants for all interview days and

Create files for new students

Manage departmental web/phone admissions inquiries

Coordinate post graduate credentialing paperwork what is this?

Required Knowledge, Skills and Abilities:

Must have a bachelor’s degree 3 years of work experience in a college setting (preferred); be computer proficient (word processing, mail merges, spreadsheets, and database management); excellent interpersonal and communication skills; diplomacy; high degree of organization, problem solving and detail orientation. Must be able to generate new ideas and work autonomously but also recognize their critical role as a team member.
